Operations Manager
FULL TIME | 2+ YEARS EXPERIENCE | IN-OFFICE in OXFORD, MS
We are looking for a proactive, responsible and highly organized team member to serve a critical role as the backbone of our agency.
The operations manager role provides thoughtful structure and careful management across a range of functions, including office management; human resources; information systems; general administration and bookkeeping; and project management. Expertise in these individual fields is not required, but the right candidate will be familiar with the role and importance of these functions within an organization.
This role reports directly to the CEO. In addition to owning the areas above, he or she serves as an advocate, extension and assistant for day-to-day needs and priority projects.
Within the broader team, this person’s role is ultimately about ensuring everyone is equipped and empowered to produce excellent work for our clients, while also playing a key role in maintaining and growing the company.

YOUR ROLE
You will be working with your predecessor and company leaders to provide a smooth transition across these important functions. As you go forward, you will be building upon well-documented processes as you:
Run financial transactions and bookkeeping
Manage internal budgets for operations and marketing expenses
Manage payments and reimbursements for the team and contractors
Align project-related expenses with client budgets for billing
Communicate with clients for any issues related to invoicing and payment
Watch and communicate around overdue accounts
Maintain the office environment and how it is equipped
Field and manage incoming job applications
Run, evolve and improve processes for onboarding and offboarding for employees and interns
Coordinate efforts to welcome new team members
Plan meals, outings, appreciation etc. for the team
Manage computers and other equipment for team members
Manage software subscriptions and platform access
Manage and evolve training workflows and internal resources
Manage employee benefits in onboarding and renewal
Run and evolve intern recruiting, onboarding and offboarding
Execute projects on behalf of the company’s own marketing, including awards submissions, website updates and social media posts as needed
Implement structural adjustments within the agency’s project management system as needed
JOB REQUIREMENTS
While we will provide training for the functions above, being qualified for this role means you would bring on day one:
Excellent written and verbal communication skills
Experience in managing budgets and expenses
Careful attention to detail
Hyper-organization habits approaching OCD-level
An ability to work independently and collaborate with a team
An ability to learn quickly and follow established processes
An ability to look beyond tasks, connect the dots, and proactively find and advocate for improvements across your areas of responsibility
Fluency with Apple hardware and software
2+ years experience in a related field
Resume that demonstrates the required capabilities and experience
Strong references on behalf of both your experience and your character
